A survey is sent in two steps: add recipients to the survey, then send the invitation email. Each recipient receives a unique single-use access link.
Open a survey from the Surveys list
Click Recipients to add individuals or entire groups
Click Send Survey to send the invitation email
Each recipient gets a unique access link
Email delivery starts immediately after you confirm
(Roadmap: survey scheduling, branching logic, SMS/in-app/kiosk distribution, threshold-based alerts.)
Adding recipients
From the Surveys page, click into the survey you want to send. The dashboard shows a four-step indicator at the top: Recipients → Send → Respond → Analyse.
If no recipients are set yet, click Manage Recipients. The recipients panel lets you:
Add entire groups (each group shows its member count)
Add individuals by name or email
Remove recipients before sending
The panel summarises invited / sent / pending counts as you add people.
Sending the invitation email
Once recipients are set, click Send Survey at the top right of the survey detail page.
The Send Survey Invitations dialog asks for:
Email Subject: defaults to "Survey: [survey name]" but is editable
The dialog confirms what happens next:
Each recipient receives a unique access link
Email delivery starts immediately
Click Send to confirm.
After sending
Once invitations are out, the survey moves to Active state and the dashboard begins populating with response data. Recipients show as Sent until they complete the survey (then Completed) or until the window closes (Pending).
You can manage recipients after sending: add new ones, remove ones who should not have been included, and resend if needed.
Distribution channels
Today, surveys are distributed by email only. Recipients click a unique link in the email to access the survey in their browser. Workers do not need a ReFresh login to complete a survey.
SMS distribution, in-app delivery, and kiosk mode are on the roadmap.
