How workers are notified: When you assign a policy, ReFresh notifies workers by email and in the My ReFresh portal. There is no SMS channel, and notification delivery is not configurable per worker today.
How worker sign-off works
Assign the policy to workers from the policy's page in Records using Assign.
ReFresh notifies each assigned worker by email and in the My ReFresh portal.
Workers log in to the My ReFresh portal and see the policy in their pending items.
Workers complete the sign-off in the way you have configured for that policy (see below).
ReFresh records a timestamped sign-off against each worker.
Sign-off methods
Each policy specifies how workers must sign off. There are four methods:
Signature: the worker provides a signature to confirm they have read and agree to the policy
Acknowledge: the worker acknowledges the policy
Check: the worker ticks a box to confirm
View: the worker confirms they have viewed the policy
Choose the sign-off method to match the weight of the policy: a formal code of conduct might need a signature, while a routine update might only need a view or acknowledgement.
Checking sign-off status
On the policy's page, open the sign-off tab to see:
Which workers have signed off
Which workers are still pending
The date and time each worker signed off
Email delivery status for each notification
You can send a reminder to workers who have not yet signed off.
Re-acknowledgement on a new version
When a policy moves to a new version, sign-off resets. Workers see the updated policy in their pending items again and must sign off on the new version. See Policy version control and renewal tracking.
