Tasks are the action items that thread across every module in ReFresh: incidents, investigations, risk assessments, controls, policies, documents, and general items. Open Tasks at the top of the admin sidebar.

  • Tasks live at sidebar → Tasks (top of sidebar)

  • Two views: List and Board

  • Two tabs: My Tasks (assigned to you) and All Tasks (organisation-wide)

  • Each task has a Priority (Low, Medium, High, Critical), Status (Pending, In Progress, Blocked, Completed, Cancelled), Due Date, and Assignee

  • Tasks link to risks, controls, evidence, incidents, investigations, consultations, audits, policies, documents, or general items


Opening Tasks

Click Tasks at the top of the admin sidebar (above the Detection group). The page opens by default to My Tasks in List view.

Toggle between:

  • List view: a sortable, filterable table

  • Board view: a kanban-style view grouped by status

Toggle tabs:

  • My Tasks: tasks assigned to you

  • All Tasks: every task in your organisation


What each task row shows

Column

Meaning

Task

Task title and a sub-line showing the linked entity (Incident, General, Risk Assessment, Investigation, Policy, Document, Control)

Due Date

When the task is due

Priority

Low, Medium, High, or Critical

Status

Pending, In Progress, Blocked, Completed, Cancelled

Assigned To

Who owns the task

Click any row to open the task.


Creating a task

Click + Create Task in the top right. The Create Task form captures:

  • Title

  • Description

  • Linked entity (optional; pick the incident, risk, control, etc. this task supports)

  • Priority

  • Status (defaults to Pending)

  • Due date

  • Assignee

Save to create the task. It appears on the assignee's My Tasks list and triggers an email reminder.


Linking tasks to other entities

Tasks can link to any of the following entity types:

  • Incident

  • Investigation

  • Risk Assessment

  • Control

  • Evidence item

  • Policy

  • Document

  • Consultation

  • Audit finding

  • General (no specific link)

When tasks are auto-generated by ReFresh (for example, from an incident wizard or a renewal cadence), the linkage is set automatically.


Hierarchy of Controls tagging

Tasks created from the Hierarchy of Controls wizard during an investigation are tagged with the relevant hierarchy level (Elimination, Substitution, Engineering, Administrative, Personal). This tagging surfaces in reports and helps demonstrate that decisions followed the hierarchy.


Email reminders

ReFresh sends automated email reminders for:

  • Upcoming tasks (ahead of the due date)

  • Overdue tasks

The cadence is fixed by ReFresh and not customer-configurable today.


Comments and collaboration

Each task supports threaded comments. Use comments to:

  • Ask the assignee a question

  • Provide additional context

  • Record progress updates that do not warrant a status change
