Managing tasks

Tasks are the action items that thread across every part of ReFresh: incidents, investigations, risk assessments, controls, documents, policies, tests, and general items.

Opening Tasks

Go to Tasks in the admin sidebar. The page opens to My tasks in List view. Two things you can toggle:

Views:

  • List: a sortable, filterable table

  • Board: a kanban-style view grouped by status

Tabs:

  • My: tasks assigned to you

  • All: every task in your organisation

What each task row shows

Column

Meaning

Task

Task title and a sub-line showing the linked entity

Due Date

When the task is due

Priority

Critical, High, Medium, or Low

Status

Pending, In Progress, Blocked, Completed, or Cancelled

Assigned To

Who owns the task

Click any row to open the task.

Creating a task

Click + Create Task. The form captures:

  • Title

  • Description

  • Linked entity (optional: the incident, risk, control, and so on that this task supports)

  • Priority (Critical / High / Medium / Low)

  • Status (defaults to Pending)

  • Due date

  • Assignee

Save to create the task. It appears on the assignee's task list and triggers an email reminder.

Status and priority

  • Status: Pending → In Progress → Blocked → Completed (or Cancelled)

  • Priority: Critical, High, Medium, or Low

Linking tasks to other entities

A task can link to one related entity of any of these types:

  • Risk assessment

  • Control

  • Document

  • Policy

  • Test

  • Incident

  • Investigation

  • General (no specific link)

When ReFresh generates a task automatically, for example from a triage step's Immediate Actions or a control's remediation, the link is set for you.

Hierarchy of Controls level

A task can record which Hierarchy of Controls level it belongs to (Elimination, Substitution, Engineering, Administrative, or Personal). This surfaces in reports and helps demonstrate that your control decisions followed the hierarchy. See Using the Hierarchy of Controls.

Email reminders

ReFresh sends automated email reminders for upcoming and overdue tasks. The cadence is set by ReFresh and is not customer-configurable today.

Comments

Each task supports threaded comments; use them to ask the assignee a question, add context, or record progress that does not warrant a status change.
