Consultations overview

Consultation is a work health and safety obligation: sharing information on a safety matter with affected workers, giving them a genuine chance to express their views, and taking those views into account before you decide.

Open Consultations from the admin sidebar → Consultations (/app/consultations).

Consult is not the same as notify: Sending workers an update or a notification is not consultation. Consultation means inviting input on a decision that affects their health or safety, and documenting how that input was considered.

What a consultation records

Every consultation captures four things:

  • What was consulted on (its type and the records it relates to)

  • How it was held (its format, date, and location)

  • Who took part (participants, their role, type, and attendance)

  • What came out of it (the outcome summary and how worker input shaped the decision)

Types

Each consultation is recorded against a type that describes what was consulted on:

  • Risk Assessment Review

  • Control Implementation

  • Incident Debrief

  • Investigation Findings

  • Framework Adoption

  • Policy Change

  • General Consultation

Formats

You also record how the consultation was held. The eight formats are In-Person Meeting, Video Conference, Phone Call, Toolbox Talk, Workshop, Committee Meeting, Team Meeting, and Other.

Participants

For each person consulted you capture three attributes:

  • Role: Worker, HSR (Health and Safety Representative), Manager, Union Rep, Consultant, or Other

  • Type: Internal, External, or Anonymous

  • Attendance: Pending, Attended, Absent, or Excused

Why HSR involvement is captured explicitly: WHS legislation gives Health and Safety Representatives specific consultation rights, so their involvement is recorded as its own role rather than folded in with other workers.

Lifecycle

A consultation moves through a simple lifecycle:

  1. Draft: being prepared

  2. Scheduled: booked but not yet held

  3. Completed: held and recorded

A consultation that does not go ahead is marked Cancelled.

Linking to your safety records

A consultation can link to one or more records, so a single session can inform several pieces of work at once. Each link is one of:

  • Risk Assessment

  • Control

  • Incident

  • Investigation

  • Framework

The create dialog starts you linking one record, but a consultation can hold several. Each link appears both on the consultation and in that record's own consultation list.
